Often this information is already in the document contents, ritningshuvuden etc. This feature helps to transfer the information from lists into their own files to the function for saving documents.

Select file

The function is started from the left menu (for Saving). The first step is to select the file that contains the list. The file must be in Excel format with any of the extensions XLSX, XLS or CSV (the last is actually a text file that is easy to create with script-functions for example. Revit).

The list must have unique headings for each column. It shall normally be one row per document (see also Advanced lists below).

Settings

In the next step, you are talking about was in the file list, see. It is possible to select a specific tab and the line number of the header row. Usually you will find the program automatically. Parts of the text in the header row is displayed as verification.

Merge columns

Then you need to connect the columns with properties in Apricon. For each attribute there is a selection list of all the titles in the list. The properties that have no corresponding column may instead be assigned a fixed value. Properties that are “identifying” are marked with blue label and must always be in one way or another.

Document name (the file name without extension) can be read from a column that contains the whole file name or even full pathnamn. The same applies to file extensions, but usually it’s easiest to let the program find them automatically when you later pointing out the document files.

Usually have the lists using the same format every time. Save the settings in this dialog, then everything is filled in and ready the next time.

Upload files

Finally, to the usual table, used when saving. It is filled with all the documents that are in the list, but has not yet uploaded any files. Do this by dragging and dropping files in the usual way. Their names will be matched against the document names in the table. If the files are in different folders, it is possible to drag and drop several times until all the rows in the table have been given a file attached to it.

Save

Now it is possible to supplement the documents properties directly in the table. Then click Save.

Advanced lists

There are some exceptions to the rule about one line per document.

Section heading

In some lists (electrical consultants) used section headings in the description column to group documents with similar content, see picture. The definition of a title is a text on a line that is blank in the first column and following a completely empty line.

In the dialogue “link the columns” pops up an extra choice for how columns with subtitle to attach to Apricon. Under the headings can either be connected to a separate property, for example. Description 2, or merged with the texts that are at or. document line.

In the case of a merger would be the description of the last document in the example above, become “FIRE ALARM, level 1 part 254”

Multiple rows per document

It appears that each entry on a list is made up of more than one line. The definition of a “jump line” is that it is empty in the first column and not preceded by a blank line. An entry can have at most three lines.

If any of the documents in the list entries have more than one line, you will see a extra column “Row” in the dialogue Link columns, so that, for example. can assign the second line of each document record to properties in Apricon.

We call the method dubbelsynkronisering.

Take a document type at a time (for example,. Drawing upon. the following example) and do the following:

    1. Start the function save the document and select the identifying characteristics Construction action stage > X > Drawing.
       
    2. Drag the files from Windows Explorer and drop in the browser so that they are uploaded. The ‘ sync ‘ files with the server, and since there is already building documents with the same file name, the description and the other properties to be filled in. Note: Do not click Save.
       
    3. Click on “change the identifying properties” and change to Relational document > X > Drawing. Now synchronize the application files with the server and find that they do not exist in the past. It retains, however, the already completed properties, which it exploits.

The new feature “my saved documents” helps with this.

It varies from case to case, how far back in time you want to watch – an hour, a day or a week. Therefore the function a list that is sorted chronologically and grouped per day, in a similar way to “View all in chronological order”.

There are a few different options for how the selection:

View documents that I saved
Only the document that you have saved will be shown

View older versions
When someone else updates a document that you have saved as it disappears from your list. This option appears all the versions that you have saved, which is useful for those who are familiar with how versioning works.

View documents that I or anyone in my discipline has saved
Often working in teams. Then there’s the need to see also what colleagues have saved.

Document tree and folders http://apricon.se/dokumenttrad-and-folders-2/ Sun, 05 Aug 2012 16:38:52 +0000 http://blog.apricon.se/?p=322 The document tree in Apricon consists of folders in a tree structure, and is the most widely used tool to find documents and packages. It reminds a lot about the file tree in the Windows, but there are important differences.
In Windows builds up his tree by creating folder by folder and fill them with files. The tree can contain empty folders, and there is no limit to the number of levels or what folders can be named.
In contrast, the tree grows up Apricon as users to save their documents. Folders are not self-contained, but represents only a particular feature of the documents.

The image shows the relationship between a certain document properties and the folder in the tree in which it is found.

To “create” a new folder by saving a document with the correct properties. Hence no empty folders in the tree.

There are several document trees to choose from. They present the documents ‘ properties in different ways. A tree, for example, can view the status of the lowest level, another includes only protocols. Feel free to test the different trees, and choose the one that is best suited to the circumstances.

The tree structures varies from project to project and is determined by the project management.

Clicking the +/-to expand the folder, just like in Windows. Clicking the text or folder to display the contents of the surface to the right. An important difference from Windows is that the contents of a parent folder (1 in the example) contains the total of the child folders. If it is not so many documents does this often faster and provide a better overview.

Frequently asked questions

Why is there no folder for my discipline?
Answer: You and your colleagues have not saved any documents. As soon as you have done it, the folder will show up (after you have compressed and expanded the tree once to retrieve new data from the server).

How do you make a new folder?
Answer: to save a new document using the properties corresponding to the folder. Use the Save – Save documents.

Why do I see not as many folders as project management?
Answer: this is because you do not have permission to view all documents in the project. If the documents in a specific folder is invisible so POPs not folder up in the tree.
