Often this information is already in the document contents, ritningshuvuden etc. This feature helps to transfer the information from lists into their own files to the function for saving documents.

Select file

The function is started from the left menu (for Saving). The first step is to select the file that contains the list. The file must be in Excel format with any of the extensions XLSX, XLS or CSV (the last is actually a text file that is easy to create with script-functions for example. Revit).

The list must have unique headings for each column. It shall normally be one row per document (see also Advanced lists below).

Settings

In the next step, you are talking about was in the file list, see. It is possible to select a specific tab and the line number of the header row. Usually you will find the program automatically. Parts of the text in the header row is displayed as verification.

Merge columns

Then you need to connect the columns with properties in Apricon. For each attribute there is a selection list of all the titles in the list. The properties that have no corresponding column may instead be assigned a fixed value. Properties that are “identifying” are marked with blue label and must always be in one way or another.

Document name (the file name without extension) can be read from a column that contains the whole file name or even full pathnamn. The same applies to file extensions, but usually it’s easiest to let the program find them automatically when you later pointing out the document files.

Usually have the lists using the same format every time. Save the settings in this dialog, then everything is filled in and ready the next time.

Upload files

Finally, to the usual table, used when saving. It is filled with all the documents that are in the list, but has not yet uploaded any files. Do this by dragging and dropping files in the usual way. Their names will be matched against the document names in the table. If the files are in different folders, it is possible to drag and drop several times until all the rows in the table have been given a file attached to it.

Save

Now it is possible to supplement the documents properties directly in the table. Then click Save.

Advanced lists

There are some exceptions to the rule about one line per document.

Section heading

In some lists (electrical consultants) used section headings in the description column to group documents with similar content, see picture. The definition of a title is a text on a line that is blank in the first column and following a completely empty line.

In the dialogue “link the columns” pops up an extra choice for how columns with subtitle to attach to Apricon. Under the headings can either be connected to a separate property, for example. Description 2, or merged with the texts that are at or. document line.

In the case of a merger would be the description of the last document in the example above, become “FIRE ALARM, level 1 part 254”

Multiple rows per document

It appears that each entry on a list is made up of more than one line. The definition of a “jump line” is that it is empty in the first column and not preceded by a blank line. An entry can have at most three lines.

If any of the documents in the list entries have more than one line, you will see a extra column “Row” in the dialogue Link columns, so that, for example. can assign the second line of each document record to properties in Apricon.

No matter what you choose so wont you sooner or later will have all documents collected locally and ev. transpose into their local environment.

Files

This is where we at Apricon can help with what we commonly term “filings”. What is happening is that we-after customer’s wishes-thoughts down all documents (incl. history) and creates a rather variant of the interface you will find online at Apricon. With our arkiveringsstöd you will find documents via the document tree just like at Apricon-with smart link to older versions via paper card.

What also comes with all the metadata associated with the document (s) saved up. If your project has made use of the option case management, for example, to handle question/Response, error notification, or eat as we present these logs – just the way you are used to seeing them at Apricon.

If the customer has requested that only (or in addition) to receive discs with the Relational actions, or maybe just Inspections, we will arrange this with no problems.

The benefits of our Archiving service can be summarized as the following points:

• All documents older versions available with smart link to current version
• All metadata (descriptions, date, version names, etc.)
• An easy to navigate and clear structure, it looks like during the design and production

But there may be times when you want to simplify further and in its communications link directly to the documents and packages to write about.

For an individual document goes into its document card, where you will find a button called “Link in email”. Press the button and you get to message feature. Then, when you send the message, it inserts a link that leads the recipient, via the login fields, directly to the document.

Do you want to link to multiple documents to create a package with these. Since it acts as the link to the document. In the package the card you will find the button ‘ Link in email “which inserts a link directly to the package in your message.

Watermark on PDF files http://apricon.se/watermark-on-pdf-files/ Mon, 31 Mar 2014 09:20:34 +0000 http://blog.apricon.se/?p=974 A few months ago we smyglanserade a popular and useful feature, being able to get a so-called watermark on pdf files. Use the workflow for review/approval so you can put any text as a watermark on your document. This increased transparency reduces the risk to a non-approved document be mistaken as approved.
Documents that have not yet been completed for review can be stamped with the “Preliminary”, “in progress” or similar. When they are sent for review, the text is automatically changed to “Under review”, “Reviewed”, etc., and when the document is approved, it is without the watermark.

Often in workflow broadcast approved document back to the document owner to ritningsstämpeln or equivalent is updated before the document becomes available to the other. This step it feels now safer to skip, the document may already be sent for review to be completed with the status it may after approval. And so, without an intermediary, be available for the project as soon as it is approved.

Update published packages http://apricon.se/update-the-published-packages/ Thu, 06 Mar 2014 14:51:54 +0000 http://blog.apricon.se/?p=964 We have recently introduced a change in terms of the published package that displays the latest version of the document. You can now change the current contents of these packages, which simplifies and streamlines a lot. Packages and publishes a number of documents that you want to make available outside your Apricon project, you can if you want to add or delete documents in the package. This beats immediately through for those you have given access to the documents (via the link to the published package).

We see that this is used when the project would rather not invite someone only to be allowed to see a few documents, then it is instead easier to remove the selected document to the person.
Or why not published construction packages which are continuously replenished as documents become clear?

Published package that displays a specific version of the document, as FU-package, does not, however, work in this way. For example they can not be updated/changed as easy.

Simplify saving of As built documentation http://apricon.se/simplify-saving-of-as-built-documentation/ Thu, 26 Sep 2013 13:07:50 +0000 http://blog.apricon.se/?p=857 When it’s time to move up relations documents, you can save a lot of time by taking advantage of the captions that are already on the corresponding construction documents. We call the method dubbelsynkronisering.

Take a document type at a time (for example,. Drawing upon. the following example) and do the following:

    1. Start the function save the document and select the identifying characteristics Construction action stage > X > Drawing.
       
    2. Drag the files from Windows Explorer and drop in the browser so that they are uploaded. The ‘ sync ‘ files with the server, and since there is already building documents with the same file name, the description and the other properties to be filled in. Note: Do not click Save.
       
    3. Click on “change the identifying properties” and change to Relational document > X > Drawing. Now synchronize the application files with the server and find that they do not exist in the past. It retains, however, the already completed properties, which it exploits.
       
    4. Change the properties as needed, e.g. date and status.
    5. Save.

Administrator’s guide, part 3 (project settings): http://apricon.se/administrators-guide-part-4-project-settings/ Wed, 19 Jun 2013 16:12:18 +0000 http://blog.apricon.se/?p=771 Under the menu item “project settings” you will find a number of basic functions that you as an administrator can use and customize to your project’s needs.

Project name:
As a project administrator, you can edit the name of the project, both for the heading on the page but also for the project name that appears at the top of the document tree.

Document structure, document properties:
From here you can add or remove “folders” in the project. By clicking on “Edit” you will be taken to the page for “document structure and roles”. This page provides an overview of what is defined in the document structure. The boxes/lists that have a blue “wrench” icon to the right of the title has you as the administrator the possibility to edit.

To add a new folder:

  1. Click on the “wrench”:Configure
  2. Click “add”
  3. Enter the name of the folder you want to create
  4. Click on “Save”
    Now, probably the two boxes on the right to start flashing, this usually occurs because the folders are “conditioned” against the main folders (in order to be able to view only relevant folders under each category).
  5. Click the drop-down menus and select the blue outlined the options in the list:Range of conditions
  6. Click “Edit”
  7. Select the main folders/categories your new folder should appear in by using check boxes:Terms And Conditions
  8. Click on “Save”

Invoice information by copying order: 
Here you can enter the invoice data as the project can make use of when ordering copies.

  1. Register Company and contact information
  2. Select the copy shop you want to use us and enter also suitable for mailing.
  3. Specify account for invoicing (there is also support for specifying multiple accounts if necessary, just click in the option “multiple values to choose from”)
  4. Click on “Save”

Then Apricon does not send out automatic notifications in the context of the tasks in your project, but instead allows users to send a message to those whom it may concern, we have created the function mailing lists. Here we have usually already prepared a mailing list for the project group, one for the project management, and so on. These mailing lists are assigned to users in accordance with the same procedure as for role assignment, but you can also add users to mailing lists directly on this page.

Add users to mailing list: 

  1. Select list via “radio buttons”:

  2. Select the user or users you want to add to the list via “Other users”.

  3. Click the arrow to the right to add the selected user

To create a new mailing list:

Administrator’s guide, part 1 (users and roles): http://apricon.se/administratorsguide-part-1/ Wed, 19 Jun 2013 14:40:59 +0000 http://blog.apricon.se/?p=674 From “users and roles”, you can invite new users, check out who received the invitation but have not yet replied (under the tab “are invited (non-active)”) and “active” tab allows you to assign and adjust each person’s role and in which email lists the person is in.

To invite new users:

  1. Enter each person’s e-mail address (you can specify several at the same time)
  2. Click “add”
  3. Click on each email address to assign roles and mailing lists.
  4. Click “invite”

Now they invited e-mail with a link where they are prompted to register with name, company, address and phone number. Only then you can log in and participate in the project on Apricon.

In principle, all roles related to a discipline, for example. so is assigned the role of “Designer Architecture” discipline “A” (which means that a user with this role can save the document in the folder “A“).
If you want to invite an international participants who prefer English in front of Swedish, so should you log into English by specifying “English” language on the login page to Apricon. Invitation that goes away is also in English.

Would there be active users in the project that have not yet been assigned to a role, see “active” tab and then click the user’s name-you can then simply tick the roles you want to assign to this.

Apricon and iPad http://apricon.se/apricon-c3-and-ipad/ Fri, 15 Mar 2013 14:25:47 +0000 http://blog.apricon.se/?p=614 We have some questions about using Apricon C3 mobile and particularly about the options available to manage files with the iPad.
The purpose of this article is to describe the way I combine Apricon and iPad.

I start Safari and log on to Apricon in the usual way, as when I use my computer. And as with my PC do I need software to be able to manage the files in your projects. In iPad, I must have apps that can read the file format I want to work with.

AutoCAD WS, I have to open, edit, and save DWG files. Files can be saved locally in its edited form.

BOS 360 Glue to make corresponding with NWD files (Navisworks). However, you cannot save the files with changes to make.
A common feature of DWG and NWD is that if I open them from Apricon, I get a new tab in Safari where I be given the choice to either open directly into each app or other app. By selecting other app I get the option to save the file locally with the FileBrowser.

Filebrowser do I use to save files locally and access the file system in the iPad. With the app you can also access other computers, for example, to open files that are located on your company’s server or saving files from iPad to servers/computers.

PDF and Office files (Word and Excel) opens in new tab with Safari’s built-in support. The opened file, you can point to in order to get options to open (and save) it in FileBrowser or open with other app (such as Adobe Reader for PDF files).

I want to save multiple files at once to my iPad works sort of like in typical computing environment. I get a ZIP file to unpack with FileBrowser wherein a folder structure is created locally on the basis of the properties files are in Apricon.

A useful feature is to create summary-PDF by using the “print function”. By selecting multiple PDF files in Apricon and choosing the function print is created a PDF file of the selected documents. It can then save locally, or send to a printer.

It was a bit on how to open and save files from Apricon.
When it comes to saving to Apricon from his iPad is more limited. Images can be saved from iPad to Apricon, this is done with the function Save single in Apricon.

Other features of Apricon works well. For example, you can create packages, send message, manage your contact list, change the properties on your documents, etc. The project task management it is possible to work with it in the iPad. If you are an administrator, you can invite/delete users, manage rights, edit the project home page, etc.
