“packed” and ready to go

In spring,2014 Swedbank moved into its new head office in Sundbyberg. The 45,000 square metre building was developed for Humlegården Fastigheter and houses 2,500 employees.

The project was certified to the highest possible Swedish Environmental building certification system rating. Danish architects3XN worked in accordance with Swedbank values such as transparency, Scandinavian simplicity and a dynamic social environment. Forsen Project has been responsible for project and construction management.

Forsen Project has extensive experience in Construction Management and multi-stage tendering cut the construction cost by 10 percent or more. Larisa Tireshina of Forsen Project managed all specifications and procured more than 180 different contracts.

The tender document process is probably five times faster with Apricon than when we were working with email. For instance we can now avoid all the problems with managing large amounts of data that must be divided and zipped before being distributed as multiple email, says Larisa.

The project has been quite complex, with a high degree of privacy and the involvement of many contractors. It was vital that communication was smooth and secure. At the start Lennart Klintmalm of Apricon organised an introduction to Apricon for the working group. Larisa then produced project specific information with descriptions and procedures. As a consequence, Apricon got very few calls to their support service.

Each contract described clearly how contractors were to use Apricon to retrieve and send information. Other than a few memos,  I have not had to send a single email, says Larisa.

Working with a master package that automatically updates when new documents are added to Apricon makes administration far simpler. For example, a drawing can be included in several packages for different contracts. By not having to manage all updates manually, you save a lot of time and minimise the risk of errors.

When working with packages, it is worth knowing that Apricon can display its own document tree for both packages and memos, which facilitates searches.

When a memo contains several documents, it is advisable to create a package of the documents, and name this with the same number as the memo.

 

Another advantage of Apricon is that you do not need to create special folders for sensitive information, all documents can be in the “right place”. Authorisation rights to read documents can be managed easily with different authorisation levels for each document.

 

This means that we can upload everything, even contracts. This has facilitated communication with our inspectors a lot,” says Larisa.

There are many different uses for packages and they can streamline work significantly when users do not have to spend time searching for and collating the right documents. A package can also show both a specific version of the documents or be updated when new versions are added to Apricon. Together with the optional Publish packages you can also share documents securely with stakeholders who do not have access to the entire project, such as specifications, contract packets or tenant customisation.
